The arithmetic, in the open

Reorder point = (average sales per day x lead time) + safety stockOrder quantity = (average sales per day x (lead time + target cover)) + safety stock - current stock

The reorder point answers one question: how low can stock go before a normal delivery arrives too late? While you wait for a delivery, you keep selling - so you need lead time times daily sales, plus a buffer for the days nothing goes to plan.

The order quantity looks one step further: after the delivery arrives you want enough cover to trade comfortably until the next ordering moment, not just enough to survive.

This is deliberately not a forecast. It is the same rule-based logic VFusion Retail uses: observed sales, real lead times and limits you set - no predictive demand model, and nothing ordered without a human approving it.

What if my sales fluctuate strongly per season?

Use the average of a recent, comparable period rather than a whole year. A seasonal business should recalculate the inputs per season - the formula stays the same, the numbers feeding it change.

How large should safety stock be?

A practical start: the units you would sell during your supplier’s worst realistic delay. If deliveries are sometimes three days late and you sell four units a day, twelve units is a reasonable buffer.

Does this replace a purchasing system?

No. It shows the logic for one product. A purchasing system runs this arithmetic across your whole catalog, drafts the purchase orders, and keeps supplier prices and lead times current.

Why no demand forecasting?

Because for most independent retailers, transparent rules beat opaque predictions. You can check this arithmetic on paper - and any system you use should let you do the same.
